Notice is hereby given that Chehalis School District Student Support Department intends to destroy the special education records of students that have exited from all special education programs prior to and during the 2024-2025 school year beginning Aug. 1, 2031.
In accordance with WAC 392-172A-05235 and RCW 28A.155.090 and U.S.C. 1400, Chehalis School District is hereby notifying any student, or former student that has reached 18 years of age or legal guardian on said student, that they may review and/or receive the records by completing a request form.
In accordance with state and federal laws, special education records are retained by Chehalis School District for a minimum of 6 years past the time the student exits special education and/or separates from the district. If no contact is made by the student or guardian in response to this bulletin, the school district will proceed to destroy all special education records of students that have exited special education programs prior to and during the 2024-2025 school year, on our after Aug. 1, 2031.
Previous retention/destruction notices are listed below:
- Special education records of students that exited from special education programs prior to and during the 2023-2024 school year will be destroyed on or after Aug. 1, 2030
- Special education records of students that exited from special education programs prior to and during the 2022-2023 school year will be destroyed on or after Aug. 1, 2029
- Special education records of students that exited from special education programs prior to and during the 2021-2022 school year will be destroyed on or after Aug. 1, 2028
- Special education records of students that exited from special education programs prior to and during the 2020-2021 school year will be destroyed on or after Aug. 1, 2027
- Special education records of students that exited from special education programs prior to and during the 2019-2020 school year will be destroyed on or after Aug. 1, 2026
PLEASE NOTE: Any special education records of students that exited from all special education programs prior to the dates mentioned above have already been destroyed

Destruction of Educational Records
(1) Each school district shall inform parents and adult students when personally identifiable information collected, maintained, or used in compliance with this chapter is no longer needed to provide educational services to the student, or is no longer required to be retained under state or federal law. State procedures for school district records retention are published by the secretary of state, division of archives and records management, and specify the length of time that education records must be retained.
(2) The information shall thereafter be destroyed at the request of the parent or adult student. However, a permanent record of a student's name, address, and phone number, his or her grades, attendance record, classes attended, grade level completed and year completed may be maintained without time limitation.
